Return Material Authorization (RMA) Policy

All claims to return any material require an RMA (Return Material Authorization); returned goods sent without the RMA are automatically rejected.

RMAs are valid for fifteen (15) days from the date issued.

The returning address will be provided with the RMA number.

The RMA number must be CLEARLY printed on the shipping label and attached to the packages.

You must include a printed copy of your RMA Request inside your returning packaging.

All returns are subject to inspection and acceptance before issuing credit or replacement. Items exhibiting signs of negligence, incomplete packs, unsuitable packaging, or physical deterioration that is not normal wear and tear will not be credited, and the buyer will be invoiced for part(s) sent.

Returning items due to fabrication defects: Items will be replaced with like or similar ones, which will be invoiced upfront. In this case, Odor Control Systems LLC will issue a full credit, including freight costs for the faulty part, once it is received, inspected, and approved. To avoid charges, the damaged item(s) covered by the RMA must be received within ten (10) days of the replacement parts’ ship date.

Returning items due to in-transit damages: Please inspect your order upon receipt. If the package appears damaged, reject it. If the packaging contains damaged items, document them with pictures and notify the shipper first, and then contact us by submitting the pictures. Without proper documentation, damage claims may be difficult or impossible to process.

Incorrect Parts: Buyers must notify us within three (3) business days of receiving any parts shipped in error by completing a return request form. Please provide an explanation of the issue in the claim form.

International Returns: Because shipping outside the U.S. can be costly due to freight, duties, and customs fees, we do not cover return shipping costs for international returns. Buyers are responsible for all shipping, duties, and customs fees for replacement parts. For international shipments, verification procedures are implemented to confirm order accuracy before shipment.

Lost Packages: If your order does not arrive when expected, first check carrier tracking. Unless signature confirmation is requested, we are not responsible for packages once marked delivered. If confirmed lost in transit, a credit will be issued.

Return Due To Change Of Mind: We will accept returns due to a change of mind if an RMA request is submitted within 3 days of receipt of the item, and the item is returned in original packaging, unused, and in resellable condition. A fifteen percent (15%) restocking fee will apply. Return shipping is the responsibility of the customer. Refunds will exclude original shipping costs. Custom or special-order items may not be eligible for return and may require internal review before approval.
